Who we are
ListingHound is a trading name of Cyberdyme Systems Ltd, a company registered in England and Wales (company number 17108018). We are the data controller for the personal data described here. We are registered with the Information Commissioner's Office (ICO), registration number ZC206844.
Questions about your data: email [email protected].
What we collect
- Free check-up requests. When you use our form: your name, email address, marketplace, shop name or link, rough number of listings and any message you write.
- Your shop and listing data. If you become a client, you give us access through eBay Team Access or Amazon authorisation. We read your listings, stock, orders and performance data to write your report. Our access is read-only unless you approve an edit, and we only make the edits you approve.
- Billing details. Payments are handled by Stripe. We see your name, email, plan and payment status, but never your full card number.
- Emails. Messages you send us and our replies.
Why we use it, and our lawful basis
- To provide the service you asked for (your free check-up, monthly reports and approved edits, billing and support). Lawful basis: contract, or steps you asked us to take before entering one.
- To run and improve our business, keep records, prevent fraud and keep our systems secure. Lawful basis: legitimate interests.
- Marketing. We don't send marketing emails unless you ask for them. If you do, the lawful basis is consent, and you can withdraw it at any time.
- Tax and accounting records. Lawful basis: legal obligation.
Who we share it with
We never sell your data. We use these service providers (processors) to run ListingHound:
- Web3Forms: delivers check-up form submissions to our inbox.
- Stripe: takes and manages payments.
- Cloudflare: hosts our website and protects it from attacks.
- Google (Gmail): our email.
- AI tools: we use AI software to help analyse your listings and draft your report. A person at ListingHound checks every report before it reaches you.
We may also share data if the law requires it.
International transfers
Some of these providers may store or process data outside the UK, for example in the United States. Where they do, the transfer is protected by recognised safeguards such as UK adequacy regulations, the UK International Data Transfer Addendum or standard contractual clauses.
How long we keep it
- Check-up enquiries that don't become clients: deleted after 12 months.
- Client records: kept for 6 years after your subscription ends, for tax purposes.
- Shop access: we remove our eBay or Amazon access when you cancel. You can also remove it yourself at any time.
Your rights
Under UK GDPR you have the right to:
- access the personal data we hold about you;
- have it corrected if it's wrong;
- have it deleted;
- object to how we use it, including for marketing;
- restrict how we use it;
- receive it in a portable format (portability).
To use any of these rights, email [email protected]. We'll reply within one month. If you're unhappy with how we've handled your data, you can complain to the ICO at ico.org.uk. We'd appreciate the chance to put things right first.
Cookies
We don't use tracking or advertising cookies. Cloudflare, our host, may set essential security cookies to protect the site from bots and attacks. These don't track you across other websites.
Changes to this policy
If we change this policy, we'll update the date at the top of this page. If the changes are significant, we'll tell clients by email.
